# Staff Referral & Order Competitions

## How to set up a staff competition, hand out codes, and read the results.

### Running a Staff Referral campaign

Staff Referral lets you run a competition among your own employees. Every employee gets a permanent personal link and QR code. You pick one of three things to count: new golfer signups, orders placed, or total spend by golfers who arrived on a staff member's code. Your staff hand the code out by QR or sending a link and you watch the standings in Utilities.

The prize is handled by the course, not Clubhaus. You type in whatever you are offering as a prize when you set up the campaign and hand it out to the winner when it's over. We keep the score, you issue the prize(s) to your staff.

### The Two Campaign Types

- You pick one type per campaign (Order Push or Signups) and the type reshapes the rest of the setup form.
- **Order push** counts either orders or total spend from golfers who started their order by scanning a staff member's code or clicking a link the staff sent them. You can choose if the competition will be based on order count or total spend when you set it up. - <https://support.joinclubhaus.com/en/knowledge-base/staff-referral-#order-attribution-details>**Signups** counts new golfers who create a Clubhaus account using a staff member's code or link. Clubhaus often runs a signup offer for new golfers. What it is worth, and what the golfer has to do to earn it, are both set by us and are subject to change. Ask your Clubhaus contact or Clubhaus support what is running if you are unsure. You can then relay the details of the offer to your staff so that they can mention it to golfers they are trying to get to sign up. 
- Both types use the same personal codes, the same settings for who can take part, and the same leaderboard. The only things that change are what you are counting and what your staff see on the tablet.
- Refunded and voided orders do not count toward anyone's total, and there is no minimum order amount. This also means a staff member's number can go down after the fact if an order they brought in gets refunded. Tell them that up front so it does not look like a mistake when it happens.

### Creating a campaign

1. **Pick the type.** Signup or order push. Do this first, because it changes the rest of the form.
2. **Name it, and set the start and end dates.** Campaigns cannot overlap. If the dates collide with something you already have scheduled or running, save is blocked and the conflicting campaign is named, so you find out at setup rather than later.
3. **Decide who takes part.** Choose the staff roles that are eligible. You might want only bev cart, or all staff, or everybody on the property.
4. **Optionally scope it to a revenue center.** Useful when you are trying to drive orders at one spot, for example the pub house rather than the whole property. This defaults to all revenue centers.
5. **Order push only: choose what wins.** Order count or total spend. Both numbers are tracked and displayed either way, so this only decides who takes the prize.
6. **Set how many places win, and write the prize for each.** One to five places. The prize is free text, worded however you want, for example “$100 pro shop gift card.”
7. **Decide what your staff can see.** One toggle controls whether the leaderboard shows on the tablet. If the leaderboard is off, a second toggle controls whether an employee at least sees their own numbers.

There is a preview that opens the real tablet screen with your campaign’s copy in it, so you can see exactly what your staff will get before you save.

#### Scheduling ahead

You can queue up as many campaigns as you want, as far out as you want. If you plan to run these weekly, you can schedule a batch once rather than remembering every Monday. The only rule the system enforces is that dates cannot overlap.

#### Watching it run

Open a running campaign to see the standings, the prize for each placing, the eligible roles and revenue centers, and the change history.

The number most worth watching is how many orders in the window carried no staff code at all. That is the one that tells you whether the competition is actually moving behaviour, rather than relabelling orders that would have happened anyway.

Standings update in real time as orders come in during the duration of the campaign.

#### Staff codes

- A separate section on the same page, because a code belongs to the employee rather than to the campaign. It survives between campaigns, which is why a printed card stays useful after a contest ends.
- Each row shows the employee’s name, role, revenue centers, and their code. Anyone outside the running campaign is marked, so you do not print a card for someone who cannot currently place.

### Staff without a course app account

- Not every employee has a course app login, and seasonal staff turn over quickly. They can still compete.
- Click **Add staff member** and enter a first name, last name, role and revenue center. That is all. No email, no login, no password. They get a code and a link immediately, and they show up on the roster with a **no login** badge (example in screenshot above) so you can tell them apart from full accounts.
- They compete normally. They just just dont have their own login for the tablet, so their code has to reach them on a printed card or by link.

### Getting codes into your staff’s hands

- Click the QR button on any row and you get that employee’s QR code, the typed code underneath it, and the full link. From there:
- **Download PNG** saves the QR as an image. This is what you send to a print shop, or drop into your own card design.
- **Print** lays out a ready to hand over card with “Join Clubhaus”, the QR, the typed code, and the employee’s name small at the bottom, and sends it to your printer.
- The typed code matters more than it sounds. Cameras fail, and a golfer reading the code off a card can type it in during signup instead.
- There is also a CSV export of every code and link on the page, which is the better option for a bulk print run across a whole roster.

### What your staff see on the tablet

- **The "Invite & Earn" section** can be found in the course app sidebar.
- They see their code, their QR, their link, their own numbers, and their standing. The QR can be enlarged so they can turn the tablet around for a golfer to scan, and the link can be copied to the clipboard of the tablet as well.
- A banner says which campaign is running, what it takes to win, and when it ends. It leads with what they are being counted on, “orders you bring in” against “golfers you sign up.”

### Who sees what

- A **bev cart login sees nothing**, in any state. That login belongs to a cart rather than a person, so there is nobody for a code to belong to. This is not the same as an employee whose role is Bev Cart, who competes normally.
- **Holdco and management group roles see the board but no code card**, since they are running the competition rather than competing in it.
- **Everyone else keeps their screen and their code** even when the current campaign excludes their role, because their printed card is still out there working. The leaderboard (if visible), only shows people eligible for the campaign that is running.

### What the golfer experiences

- **Order push:** They scan the QR or tap the link and land on your ordering screen with that staff member’s revenue center already selected. No signup flow, no interstitial, no course picker. This works signed in, signed out, as a guest with no account, and on a fresh install straight from the QR.
- They see nothing about the referral. No badge, no “referred by”, no offer. That is deliberate. The flow exists to get someone ordering, not to explain a competition they are not in.
- The tag is read at checkout rather than when the cart was created, so a cart abandoned three days ago picks up today’s tag, and a scan halfway through ordering still counts.
- **Signup.** The code arrives by scan, by link, or read aloud and typed by hand. There is an optional code field during signup that only appears when no code was already captured, so a golfer who scanned never sees it. It uppercases and strips spaces and dashes, because someone reading off a card will add them. An unknown code, a self referral, a golfer already credited elsewhere, and no active program each get plain language copy rather than an error.

### FAQ

- How exactly does a golfer's order count towards a staff member's score?  
    - **Order push** counts either orders or total spend from golfers who started their order by scanning a staff member's code or clicking a link the staff sent them. As long as the golfer scanned the code within the last 12 hours and placed an order, it counts. For example, if they scan, don't order immediately, but order later that day (within 12 hours) - the order will still count for that staff member. Every order inside that window counts, not just the first one. Ordering does not extend or reset the 12 hour window, and if the golfer scans someone else's code partway through, the newer scan wins and the first employee gets nothing from anything after it.
- **What else should I consider when setting up my campaign? ** 
    - **How many places win.** If only first place wins, anyone who falls twenty orders behind with five days left might stop trying. With second and third place on the board, almost everyone still has something to play for in the last week. It usually costs very little and it is the difference between a competition that works for the whole team and one that works for two people.
      
      **Order count or total spend.** Counting orders rewards whoever talks one golfer into three separate orders. Counting spend rewards whoever lands a group of fifteen. That is why you pick, and it is worth a moment to think about which behaviour you actually want out of the month.
- What can you control in terms of what your staff can see? And what other options are there in that page? 
    - There are options in Utilities to have the course app "invite & earn" page show them their coworkers’ standings, only their own orders/signups/total spend, or nothing at all. Rows show name, role and position, and they do not open. Standing is public between colleagues. Codes are not. 
    - **On an order push campaign** they also see where a scanning golfer will land, for example “golfers who scan this land on Pub House.” They can change it themselves, and **Use current Revenue Center** points it at whatever the tablet is showing, so somebody covering a different part of the property for a day can fix it in one tap. If you scoped the campaign to a single revenue center there is nothing to choose, and the screen says which one it is and why.
- What can I do if something looks off / wrong...? 
    - Every scan and every rejection is logged with a timestamp, so “why did that order count for someone else” has a real answer. It is usually a later scan that replaced the earlier one inside the 12 hour window. Contact Clubhaus support and we can trace a specific code or order.
    - If an employee is missing from the roster, check whether they have a course app account at all. If they do not, add them as a no login staff member and they will have a code immediately.
      
       
- What was not included? 
    - Worth reading so nobody on your team assumes otherwise.
      
          - **No divisions inside a campaign.** Eligibility narrows who takes part, it does not create separate brackets. A cart attendant seeing forty groups a day and a line cook seeing none are on the same board if both are eligible.
          - **No group attribution.** Four golfers in a cart, one scans, they all order from their own phones: only the scanner’s orders count. Your numbers will read lower than the group’s actual activity.
          - **No prize fulfillment or payout.** Course funded, course delivered, and nothing about it touches Clubhaus.
          - **No job titles on standings.** Rows show the staff role, because bartender and server are not roles Clubhaus stores.
